Below is the contract and agreement including COVID information, please sign and send me a copy back, either via email or send images of it signed and completed.
Please return and send the signed copy back to Ocean View Photography, the original is kept within Ocean View’s Files and only upon request a copy shall be given.
DIGITAL NEGATIVES: The Client will receive a copy of the edited high-resolution digital JPEG files as a digital online gallery or on a provided USB. The client has the right to freely make and distribute copies of the digital files to anyone he or she sees fit so long as the images are not sold by the clients for profit.
SHOOTING TIME / ADDITIONS: The photography schedule and selected methodology are designed to accomplish the goals and wishes of the Client in a manner enjoyed by all parties. The Client and the Photographer agree that cheerful cooperation and punctuality by all members of the wedding party are therefore essential to that purpose. Shooting commences at the scheduled start time. The photographer will not be held accountable for not photographing desired people if there is no one to assist in identifying people or gathering people for photograph(s). The Photographer shall not be held liable for failure to take desired photographs if above schedule is running 30 minutes or over said time. Anyone showing extreme intoxication and failure to participate in any form to the event is at no fault to the photographer.
RETAINER & REFUNDS: Your Retainer is non-refundable, this covers the equipment the photographer buys solely for your day, making sure batteries are purchased, SD cards or any other photo equipment that is needed buy the photographer to complete your day’s requirements. If the wedding is cancelled and there’s no chance of rescheduling, the amount to refund back (if paid in full or partly) depends on how much notice can be given to the photographer.
As with wedding season comes other bookings if cancelation of your wedding was to happen, a full refund may not be given depending time within date cancelation.
MODEL RELEASE: The Client hereby grants to the Photographer and its legal representatives and assigns, the irrevocable and unrestricted right to use and publish photographs of the Client or in which the Client may be included, for editorial, trade, advertising and any other purpose and in any manner and medium; to alter the same without restriction; and to copyright the same. The Client hereby releases the Photographer and his legal representatives and assigns from all claims and liability relating to said photographs. Anyone NOT in agreement must stand aside.
COMPLETION SCHEDULE: Digital processing takes approximately 2 months. All digitally edited JPEG’s of the best photographs (as determined by the photographer) will be delivered to the client no more than 3 weeks after the day of the event.
RESERVATION: Upon your signature, the Photographer will reserve the time and date agreed upon, and will not make other reservations for that time and date. If for a reason, the date is changed or wedding cancelled for any reason, including acts of God, fire, strike, COVID and extreme weather. The reservation Retainer is to be paid at time of signing the contract. The photographer will do the up most best to be available if/when the wedding date is moved/postponed.
LIMIT OF LIABILITY: In the unlikely event of severe medical, natural, or other emergency it could be necessary to retain a different photographer. The Photographer will make every effort to secure a skilled replacement photographer. If the situation should occur and a suitable replacement is not found, responsibility and liability is limited to the return of all payments received for the event package. The Photographer takes the utmost care with respect to exposure, transportation, and processing the photographs including using professional grade equipment and professional grade backup equipment. However, in the unlikely event those photographs have been lost, stolen, or destroyed for reasons within or beyond the Photographer’s control. The limit of liability for a partial loss of originals shall be a prorated amount of the exposures lost based on the percentage of total number of originals.
PERFORMANCE: The performance of this contract on behalf of the Photographer shall be contingent upon acts of God, flood, fire, warfare, government laws or regulations, electrical failure, strikes by suppliers, and/or conditions beyond its control, this also includes any type of COVID restrictions put into place at any time before the event, all laws in regards to lockdowns an strict numbers have to be followed by the wedding parity and photographer.
PRIVATE GALLERIES: These must be asked for to receive and if you’re wanting to choose your images for printing this needs to be discussed upon any or all meetings. Choosing to hand pick your printed images can slow turnaround by up to an additional 2-3weeks
COVID POLICY: Agreement to follow directions: I/We agree to follow any and all state & local guidelines in place for COVID safety. Including but not limited to the proper usage of masks when required, social distancing (1.5 meters), proper hand sanitation & other posted guidelines during our photo session.
Release and discharge from this contract if the photographer, if any illness that may occur as a result of our photo session, being caused non-disclosure of covid related illness or positive covid test.

Some tips to keep in mind before we start the list:
Let your photographer know about your family structure (this list will help), i.e. divorces, deaths and family feuds!!
Keep your list short for photo-journalistic style photographer; you're hiring them to document your day as it flows
The extended family shot list is very important, especially if you have a number of shots with relatives other than your immediate family.
For every photo you add to your list, you must add approximately 2-5 minutes of shooting time. So if you're trying to figure your family photos into your time line, the length of your list will be your guide on timing.

The majority of ceremony shots are standard and most photographers know what to take. The things that you might want to add to this list would be anything that may be cultural in nature and/or an event that you've added to part of the ceremony that is not part of the standard ceremony fare. Tip: Other than a group shot with all of your guests, taking family or wedding party photos at the church is not necessarily a good idea. It is difficult to separate you from your guests and a lot of religious venues have more than one event planned per day.

Formal photos usual happens after the ceremony, and family photos and it just the brief & groom or the whole wedding party.
Tip: If family photos can be done at the reception hall, this is generally a better plan and can be scheduled to occur just before the reception starts. Also, as mentioned above, a number of family photos can be taken care of before the ceremony at the "getting ready" locations!

This list covers all of the standard happenings at a reception.
Many people now tend to do it all early before some people leave and so they can sit down to a meal and relax, the cutting of the cake can then be done by staff in time if you’re wanting to use it for a desert option. If you have any special events scheduled that you think the photographer should know about, be sure to be specific and add them. Any extended group shots, other than immediate family should probably be scheduled into this part of the day. Tip: If you have hired a videographer, then this is the time for them to shine, you might want to think about not having the photographer stay for the reception. It also doesn't hurt to provide your videographer with a list of the scheduled events for the reception.

The last part of your list may be to include any friends and extended relatives that you want photos with.
Be specific with your groups.
The photographer needs to know, for timing purposes, exactly what the sizes of the groups will be to coordinate it quickly and efficiently.
